Privacy Policy

What we store
All data you enter into BeyondAdmin — vehicle details, insurance policies, travel documents, personal documents, and subscriptions — is stored exclusively in a local database on your device. It is never uploaded to BeyondAdmin servers.
Apple Sign In
On iOS, BeyondAdmin uses Sign in with Apple to identify you within the app. Apple provides us with a unique user identifier and, optionally, your name. We do not receive your Apple ID email address unless you choose to share it. This identifier is stored locally on your device only.
Google Sign In
On Android, BeyondAdmin uses Sign in with Google to identify you. Google provides your name, email address, and a unique Google user ID. This information is stored only on your device. When you delete your account, your Google OAuth token is revoked via Google's servers and all local data is deleted.
Document scanning (email forwarding)
BeyondAdmin offers an optional feature that lets you forward insurance documents, booking confirmations, and similar emails to a dedicated inbox address. When you use this feature:
- The email content is processed by an AI model to extract key fields (provider, dates, policy numbers).
- The raw email is permanently deleted from our servers within 7 days of processing.
- Only the extracted fields are returned to your device — we do not store the full email text or attachments.
- You can also share PDFs and images directly from any app on your device. These files are processed on our servers and then discarded; they are not retained.
- Extracted document fields are temporarily stored on our servers (AWS DynamoDB, eu-west-1) for up to 7 days to ensure delivery to your device. They are deleted as soon as your device acknowledges receipt, or within 7 days at the latest. When you delete your account, any pending documents are deleted immediately from our servers.
AI document parsing
The full email body, subject line, and any attached PDFs or images are sent to Anthropic's Claude AI (via Anthropic's API, processed in the US) for data extraction. Anthropic does not retain this content after processing, per their API data usage policy.
Vehicle lookups (DVLA)
When you add a vehicle by registration plate, BeyondAdmin sends the registration number to our server, which performs a lookup via the DVLA Vehicle Enquiry API. The registration number is used solely to retrieve vehicle details and is not stored by BeyondAdmin.
Flight information (AviationStack)
When you search for a flight number, BeyondAdmin sends the flight number to our server, which queries the AviationStack API. This information is not stored by BeyondAdmin.
Affiliate links
When a policy stored in the app is within 60 days of renewal, BeyondAdmin may display a comparison link. Tapping this link opens a third-party website in your browser. BeyondAdmin may receive a commission if you purchase through that link. The price you pay is unaffected.
The comparison links are retrieved from our server at app launch. No personal information is sent during this request.
Every referral link in the app is labelled "BeyondAdmin may earn a commission."
Notifications
BeyondAdmin can send you local notifications 30, 14, and 7 days before an item expires or renews. These notifications are scheduled entirely on your device using the device notification system.
When you use the email forwarding feature, your device's push notification token is registered with our server (AWS, eu-west-1) so we can alert you when a document has been parsed. This token is stored until you delete your account.
Analytics and advertising
BeyondAdmin does not use any analytics SDKs, crash reporters, or advertising networks. We do not track your usage of the app. We do not sell your data.

BeyondAdmin uses the following third-party services, each subject to their own privacy policies:

Account deletion
When you delete your account through the app, all local data is permanently erased, your Apple ID or Google OAuth token is revoked, and any server-side data (push tokens, pending parsed documents) is immediately deleted from our servers.
Data retention
Because all data is stored locally on your device, BeyondAdmin does not hold your data on any server beyond the transient processing described above. Deleting the app removes all locally stored data. Forwarded emails are purged from our servers within 7 days. Push tokens and pending parsed documents are deleted immediately when you delete your account.
Your rights (UK GDPR)
You have the right to access, correct, or delete any personal data we hold. Because we hold none — all data is on your device — you can exercise these rights directly by editing or deleting content within the app, or by uninstalling it.

Children
BeyondAdmin is not directed at, and may not be used by, anyone under 16 — this matches the age requirement in our Terms of Service. We do not knowingly collect information from children.
Changes to this policy
We may update this privacy policy from time to time. The current version is always available at beyondadmin.app/privacy. Significant changes will be noted in the app release notes.
